Saltwater Swim Schools “SWSS”

General 

  1. Children who are not fully toilet trained must wear aqua nappies in the pool.
  2. Students are to refrain from entering the designated lesson area until lesson/activity commencement.
  3. Children must be supervised by a responsible adult/carer whilst at any SWSS facilities. Full parental/carer supervision is required for all participants during all classes/activities.
  4. All equipment and facilities are used at your own risk
  5. All school age children are required to use their gender bathroom, alternatively we have family/gender neutral facilities available for your convenience
  6. SWSS follow a behaviour policy within our program. Our staff provide one warning to swimmers for disruptive or unsafe behaviour. A second warning will result in sitting out of the pool. If the behaviour continues you may be removed from class/activity immediately.
  7. Our staff are here to do the best they can to assist and accommodate you. Rude or disrespectful behaviour will not be tolerated.
  8. SWSS aim to maintain consistency each term, but may sometimes need to move students, change instructors if the need arises
  9. All participants are to be aware of pool depths which are highlighted on pool deck.
  10. As a respect of privacy, no photos or videos are to be taken within the pool or change room facilities without management and other participants authorisation.
  11. To prevent the spread of cryptosporidium and illness, if a child has suffered from gastro, vomiting or stomach upsets please keep them home from swimming, and we will attempt to find make up classes for them when they are well.

Learn to Swim  

  1. Enrolments are secured once your direct debit has been activated (and payment processed) and/or otherwise paid in full by the due date for each term.
  2. In the event of enrolment cancellation after the Term has commenced, a cancelation fee equal to 2 lessons will be charged and is non-refundable.
  3. As a courtesy, SWSS offers 2 make-up classes per term, these are non-refundable or transferable and expire at the end of each term. A detailed policy on make-ups is located on our website Policies and is also viewable in your customer portal.

Holiday Intensives 

  1. Fees are payable up front prior to commencement of the Holiday Program to lock in and confirm spots.
  2. Bookings can be cancelled at any time prior to the Holiday Program commencement date.
  3. In the event of enrolment cancellation after the program has commenced, a cancellation fee equal to 2 lessons will be charged and is non-refundable.
  4. Make-up lessons and credits are not applicable during the Holiday Program. If you are absent during the program, you forfeit your lesson.

Aqua Aerobics 

  1. Casual attendance of this activity will require a signed waiver form to be completed. Payment is to be made prior to joining the class.
  2. An enrolment form must be completed in full for multi pass purchases.
  3. A pass can only be purchased once paid for.
  4. Multi passes are non-refundable, non-transferable and expire 12 months from the date of purchase.
  5. Children aged 16 years or under must be accompanied by an adult whilst attending Aqua Aerobics classes.

Lap Swimming 

  1. Casual attendance of this activity will require prepayment on the day and a signed waiver form to be completed.
  2. An enrolment form must be completed in full for a multi pass purchase for Lap Swimming.
  3. Purchases of any multi passes are non-refundable, non-transferable and expire 12 months from the date of purchase. 

COMPLETE AGREEMENT AND SEVERABILITY 

The terms of this Agreement constitute the full agreement between you/the participant and SWSS, and no oral promises are made part thereof. If any part of this Agreement is deemed to be invalid or unenforceable by law, the provisions will be deleted from the Agreement, but such deletion will not affect the validity and enforceability of the remaining provisions.

MEDICAL RELEASE 

I consent for the staff at SWSS to provide medical assistance as deemed necessary in the event of any illness or accident which may occur whilst attending the swimming school and agree to meet any medical expenses incurred.

WAIVER AND RELEASE 

During all such times that you are on SWSS premises, both your property and your person shall be at your own risk. You agree that SWSS shall not be liable for any loss, damage of theft of any property belonging to you or your guest (including minors) occurring on SWSS premises except where caused by gross negligence of SWSS. Additionally, SWSS shall not be liable for any death, personal Injury or illness occurring to you or your guest (including minors) on SWSS premises or as a result of the use of any facilities or equipment provided by SWSS, except to the extent that such death, personal injury or illness occurs from the gross negligence of SWSS.

Saltwater Swim Schools “SWSS” 

This is an additional service and is limited on availability so please read the conditions below to understand how this works so you can get the most out of this service.

As a courtesy, SWSS offers 2 make-up classes per term based on the policy below:

  • The parent and/or swimmer is responsible for marking their absence & booking a make-up lesson. This is done in your Customer Portal.
  • If you do not mark yourself absent you will not be able to book a make-up.
  • Absences can be marked 8-10 weeks prior.  The minimum notice required for an absence is 1 hour prior to your lesson.
  • A make-up lesson can be booked up to 7 days ahead of the class time.
  • If a make-up lesson is missed or not booked in, this lesson will be forfeited.
  • Make up lessons are non-refundable or transferrable and expire at the end of each term.
  • Make up lessons are subject to program availability. We do not guarantee you will be able to book a make up at a time you desire or that a place will be available.
  • Make up sessions cannot be rescheduled.
  • Failure to attend a make-up will result in the forfeit of your lesson.
  • Make ups are only valid while currently enrolled in the program.
  • Make up lessons are not available for the Holiday Intensive Program.
  • Fees must be paid to be eligible for a make-up.
  • If you are travelling, please advise your travel dates as early as possible so your make ups can be registered and available for you to use before you travel. For extended holidays (more than 2 weeks), please communicate in writing your travel dates so management can discuss available options.
  • For extended illness or injury, please contact the swim school’s management team to discuss options.

Direct Debit Schedule

Direct debits are processed fortnightly, two weeks in advance of lessons. Please refer to the Direct Debit schedule on our website or via your simply portal, for processing dates.

Once your Direct Debit Agreement has been signed and completed, your direct debit is then locked in for the term. To terminate a direct debit, this can be done at the end of a term, with two (2) weeks' prior written notice.

Commencing Direct Debit During a Cycle

Prior to your direct debit commencing, an upfront initial payment will be required. This ensures your account is instantly brought up to date to match the next billing cycle and avoids additional charges.

If payment is not made in time to align with the next debit cycle, your following instalment will include additional charges to cover any outstanding amounts and bring your account up to date with the current direct debit cycle.

Declined Debits

Please ensure sufficient funds are available on the scheduled direct debit day to avoid additional charges.

Declined debits will incur a $10.00 fee, which will automatically be added to your next fortnightly instalment. This fee is charged by "WorldPay for Platforms" (formerly "Payrix"), the third-party provider that manages the agreement, and therefore cannot be waived.

If your direct debit is declined, please make prompt payment (including the declined fee) to rectify the issue and prevent any potential cancellation of lessons.

Eligibility

Direct debit is available for Learn to Swim lessons only. This service is not available for short-term programs, such as the Holiday Swim Intensive Program, as these programs require full upfront payment.

Refunds & Cancellations

Direct debit payments are non-refundable. If you wish to cancel your direct debit, you must provide written notice at least two (2) weeks in advance.

  1. First lesson free does not apply to Holiday Intensives.

  2. Fees are payable up front to book into the Holiday Program to lock-in and confirm your spot.
  3. Bookings can be cancelled at any time prior to the Holiday Program commencement date. A cancellation fee will only be applied if cancelation occurs during the Program and will be equivalent of 2 lessons charged, this is non-negotiable. Please speak to management to discuss your options.
  4. Make-up lessons and credits are not applicable during the Holiday Program. If you are absent during the program, you forfeit your lesson.
  5. SWSS aims to maintain consistency but may sometimes need to move students or change instructors if the need arises during the program.
  6. Children must be accompanied by a parent during the Program. Children are not to be left unattended at the poolside or enter the water until their lesson has commenced or unless they have been instructed by their teacher.
  7. SWSS staff are here to do the best they can to assist and accommodate you. No rude or disrespectful behaviour will be tolerated.
  8. As a respect for privacy, no photos or videos are to be taken in the pool area without consent from management and all other patrons.
  9. Saltwater Swim Schools takes NO responsibility for accidents or injuries that occur within or outside the swim school premises.

We have zero tolerance for child abuse and are committed to creating a safe, inclusive, and welcoming environment where children feel respected, listened to, and protected.

This policy applies to all staff, instructors, contractors, volunteers, students, families, and visitors.

Victorian Child Safe Standards

We follow the 11 Victorian Child Safe Standards to make sure child safety is built into everything we do.

  • Child safety is everyone's responsibility.

  • We provide inclusive programs and reasonable adjustments where needed.
  • Discrimination, bullying, or exclusion is not tolerated.

  • All staff and volunteers must have a valid Working With Children Check.
  • Recruitment includes reference checks and screening.
  • Staff receive training in child safety and appropriate behaviour.

6. Codes of Conduct Are Established and Followed

  • Staff must always behave professionally and appropriately.
  • Physical contact is only used when necessary for teaching or safety and is explained to the child.
  • Inappropriate language, behaviour, or favouritism is not allowed.

7. Complaints and Safety Concerns Are Taken Seriously

  • We have clear procedures for reporting concerns or complaints.
  • All reports are taken seriously and acted on promptly.
  • Children and families can raise concerns without fear of punishment.

8. Staff Understand How to Identify and Respond to Harm

  • Staff are trained to recognise signs of abuse or neglect.
  • Staff know how to respond appropriately and who to report concerns to.
  • Mandatory reporting obligations are followed.

9. Child Safety Is Embedded in Our Physical and Online Environments

  • Our facilities are designed and maintained with child safety in mind.
  • Supervision is maintained at all times.
  • Online communication and social media use follow strict guidelines.

10. Policies and Procedures Are Documented and Accessible

  • Child safety policies are written in plain English.
  • Policies are available to staff, families, and the community.
  • Staff know where to find and how to follow these policies.

11. Continuous Review and Improvement

  • We regularly review our child safety practices.
  • Feedback from children, families, and staff helps us improve.
  • Policies are updated to meet current legislation and best practice.

Reporting a Child Safety Concern

If you are concerned about a child's safety:

  • Speak to the Site Manager or Coordinator immediately

All concerns will be handled confidentially and respectfully.

Our Promise

At Saltwater Swim Schools child safety comes first.

We are committed to providing a safe, positive, and supportive environment where every child can learn, grow, and enjoy swimming.

1. General Overview

These Terms & Conditions apply to all enrolled families and patrons engaging in splash and play sessions before or after scheduled swim lessons at Saltwater Swim School.

By entering the facility and participating in splash and play, you agree to comply with these Terms & Conditions.

2. Eligibility

2.1 Splash and play access is available only to:

  • Currently enrolled students
  • Access may be restricted during peak lesson times, events, maintenance periods, or at management discretion.

3. Supervision Requirements

3.1 Children under 10 years of age must be actively supervised by a responsible adult (18+) at all times within the facility.

3.2 Active supervision means:

  • Remaining within arm's reach for non-competent swimmers
  • Maintaining constant visual contact
  • Not using mobile phones or engaging in distracting activities

3.3 Saltwater Swim School staff supervise structured lessons only. Staff are not responsible for supervising children during Splash and Play sessions.

4. Splash and Play Guidelines

4.1 Free play is recreational swimming and not a structured lesson.

4.2 Running, diving (unless permitted), rough play, and unsafe behaviour are strictly prohibited.

4.3 Flotation devices may be restricted at management's discretion.

4.4 Saltwater Swim School reserves the right to end a free play session if safety rules are not followed.

5. Photography & Media

5.1 Photography and video recording are not permitted without management approval.

5.2 Any approved photography must not capture other patrons without consent.

6. Changes to Terms

Saltwater Swim School reserves the right to update these Terms & Conditions at any time. The most current version will be available upon request or via our website.

7. Additional Benefits & Fees

7.1 Complimentary Splash n Play
All enrolled SWSS students are welcome to swim free of charge during our Splash n Play times.

7.2 Toddler Parent Participation
Students enrolled in Toddler Beginner, Toddler Advanced and Toddler Transitions classes are eligible for one parent to swim complimentary during their child’s lesson.

7.3 Weekday Morning Access (Monday–Friday)
During term time, students attending their scheduled class that day may have one parent join them in the water before or after their class at no additional cost.
Please note, this offer is limited to one parent per enrolled student. Additional children or adults are not permitted to participate during this time.

7.4 Weekend Access – Mt Duneed
Additional participants are welcome on Saturdays and Sundays at our Mt Duneed location; however, a participation fee applies on weekends.
